Billing & Usage Agreement

1. Overview

This Billing & Usage Agreement ("Agreement") is incorporated into and governed by the Best Life Systems Terms of Service. It describes how you are charged for using the Best Life Systems platform, including base subscription fees and usage-based charges for AI tokens and SMS.

By activating a paid plan or using chargeable features, you agree to this Agreement.

2. Alpha Access

During the alpha period, Best Life Systems is offered at no charge for the base platform. Usage-based charges for AI tokens and SMS apply even during alpha. We will provide at least 14 days' notice before introducing subscription fees.

3. Subscription Plans (Beta & Beyond)

When subscription plans are introduced, pricing and inclusions will be posted at bestlifesystems.com/pricing and communicated to existing users by email. Subscription fees are:

  • Billed monthly or annually, in advance
  • Non-refundable except as required by law
  • Subject to change with 30 days' notice

4. AI Token Usage & Pricing

AI-powered features (candidate summaries, outreach drafts, interview prep, etc.) consume tokens from large language model APIs. We pass through the cost of these tokens plus a markup to cover infrastructure, support, and margin.

4a. Markup

AI token costs are marked up at a rate of 20% above our provider cost (subject to change with 30 days' notice). Your dashboard will display estimated AI usage costs in real time.

4b. Current Provider Costs (Reference)

We currently use Anthropic's Claude models. Costs vary by model and are subject to Anthropic's pricing changes. Approximate reference rates (as of the effective date above):

Provider prices are approximate and subject to change. Your actual cost is provider cost × 1.20.

4c. Spending Controls

You may set a monthly AI spend limit in your account settings. When your limit is reached, AI features will be paused until the billing period resets or you increase your limit. We will notify you at 80% and 100% of your configured limit.

5. SMS Usage & Pricing

Outbound SMS messages sent to candidates are charged per message segment (a segment is 160 characters for standard SMS, or 153 characters for multi-part messages).

5a. Markup

SMS costs are marked up at a rate of 25% above our carrier/aggregator cost (subject to change with 30 days' notice).

Rates are approximate and subject to change. Inbound SMS is currently free.

5c. Compliance

You are responsible for ensuring all SMS recipients have provided appropriate consent under applicable law (including TCPA in the US). We may suspend SMS access for accounts with high opt-out or complaint rates.

6. Billing Cycle and Payment

  • Usage-based charges (AI tokens, SMS) are billed monthly in arrears, at the end of each calendar month.
  • Subscription fees (once introduced) are billed in advance at the start of each period.
  • Payment is collected automatically from the credit card or payment method on file via our payment processor.
  • Invoices are emailed to the billing email address on file within 3 business days of billing.

7. Failed Payments

If a payment fails, we will retry up to three times over 7 days and notify you by email. If payment is not resolved within 14 days of the original due date, we may suspend access to the Service until the balance is paid. Accounts suspended for 60 days may be terminated.

8. Taxes

Prices are exclusive of taxes. Where required by law, applicable sales tax, VAT, or GST will be added to your invoice. You are responsible for any taxes applicable to your jurisdiction.

9. Disputes and Refunds

If you believe you have been charged in error, contact billing@bestlifesystems.com within 30 days of the invoice date. We will review and respond within 10 business days. If a billing error is confirmed, we will issue a credit to your account or refund to your original payment method.

Subscription fees are non-refundable except where required by applicable law or as described in the Terms of Service.

10. Changes to Pricing

We may change usage-based rates or introduce new charges with at least 30 days' notice by email and in-app notification. Your continued use of chargeable features after the effective date of a price change constitutes acceptance of the new rates.
